Privacy policy
Plain language about what we collect, why we use it, and how to see or correct it.
Who is responsible
Back in Health Massage & Wellness is responsible for personal information under its control at its Glenmore and Kirschner clinics and on this website. Our privacy officer is Derya Welder, the clinic owner. She answers privacy questions and requests and makes sure this policy is followed.
What this policy covers
This policy explains how we handle personal information that reaches us through this website, by email and by phone. Treatment records are also kept under each practitioner's professional record-keeping obligations. Information entered in Jane, our booking and clinical records system, is also covered by Jane's privacy and security practices.
Information we collect
We collect your name, contact details and what you choose to tell us when you email, call or book. When you become a patient we also collect the health and insurance information needed to treat you and to bill your insurer. We collect only what is reasonably needed for these purposes.
Why we use it
We use personal information to answer questions, book and coordinate appointments, provide care, bill insurers and ICBC when you ask us to, keep the records the law and our professional colleges require, and protect the website. We ask for your consent before using it for any other purpose, and you can withdraw consent at any time, subject to legal and record-keeping requirements.
Booking through Jane
Online booking opens on Back in Health's Jane site. Information you enter there goes directly to Jane and is handled under the clinic's account and Jane's privacy terms. Please do not send detailed health information by ordinary email; discuss it by phone or with your practitioner.
Website analytics
To understand which pages help people, this site counts visits with Umami and Vercel Web Analytics. Both are cookieless and do not identify you personally; they record things like the page, the referring site, and the browser and device type. If Google Analytics is turned on, it uses cookies, and you can block them in your browser settings. We do not use advertising trackers.
Maps and outside links
Clinic maps come from Google Maps and load only when you press Show map. Links to Jane, Google, Instagram and Facebook take you to services with their own privacy policies.
Sharing and service providers
We do not sell or rent personal information. We share it only with your consent, as the law requires or allows, or with service providers who help us run the clinic and this website, such as booking, hosting, email and analytics. Some of these providers store information outside Canada, for example in the United States, where it may be subject to that country's laws.
Retention and safeguards
We keep personal information only as long as needed for the purpose it was collected and to meet legal and professional obligations, including the record-keeping periods our colleges set. Records are protected with physical, administrative and technical safeguards suited to how sensitive they are, and are destroyed securely when no longer needed.
Your access and correction rights
You may ask to see the personal information we hold about you, how it has been used and who it has been shared with, and ask us to correct it. Send your request to admin@backinhealth.ca with Privacy in the subject line, addressed to the privacy officer. We will respond within 30 business days, as BC's Personal Information Protection Act requires.
Concerns and complaints
Please tell our privacy officer first, and we will try to resolve it. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia at oipc.bc.ca or 250-387-5629.
Back in Health operates in British Columbia and handles personal information in accordance with applicable privacy law, including BC's Personal Information Protection Act where it applies.
